Not everything starts with a microphone.
Paste rough notes, type a few lines or bring text across from another source. Medspec applies the same document-generation workflow without using your voice allowance. This is ideal for structured technical reports with initial raw technical data, such as Holter or EEG reports.
02 · Draft
A consultation produces documents others may act on and a clinical record the care team will rely on. This need to be accurate, current and ready when the consultation ends. We create a primary document that is approved by the clinician.

Dynamic summary provides existing clinical record rather than starting from a blank summary on your review. After a new consultation, it compares the new data against existing medical summary and proposes structured updates to relevant history, conditions, medicines, allergies, investigations and social information.

The follow-up tasks created on the fly.
Medspec identifies potential follow-up work from the consultation. Just say “TASK” and provide the request, such as arranging a review, sending a referral, ordering an investigation or contacting the patient with a result. Medspec will create a task automatically and you can review and allocate the task to any user or user group (such as reception, or practice manager) within the platform.

We believe quality matter. A generic letter is not that. Two things make a document yours: its shape and its voice. The shape is the structure—its sections, order and presentation. The voice is the way you phrase information, the level of detail you use and how formally you write to colleague. Combine it with a print-ready document using your own letterhead and signature, and the result is unmistakably yours.

04 · The practice
Medspec can serve a solo clinician with support staff or an entire multisite organisaton. Choose between individual or organisational accounts. With role-based access and location or clinician-based filtering.

Individual accounts still provide rooms for your support staff at no additional cost. Organisational accounts provide ability to add several clinicians, support staff and manage clinician licenses. Organisations can re-allocate licenses to locum staff and other clinicians at no added cost. Manage shared templates, headers and footers – organisation wide. Practice managers, receptionists, nurses and administrative staff can receive their own role-based accounts to manage documents, appointments and tasks. Review account limits on the pricing page.
More than one site without more than one system.
Organise users, patients, documents and worklists by practice location. Clinicians and support staff can view the relevant work for the location in which they are working.
The Workflow tools
Follow-up work, assigned and tracked through completion.
An accepted follow-up becomes a task linked to the document and patient. Assign it to a clinician or support team member, set a due date and track it through completion. Create tasks on the fly from your phone with ability to attach photos or voice notes.
The people and organisations your practice writes to, kept in one place.
Maintain a shared list of referrers or important contacts for document sharing, especially useful for dentists and allied health providers. Staff can select a current contact rather than retyping details each time.
Securely distributed documents are not sent as email attachments.
Send a document to a saved contact or one-off recipient using a secure link. The recipient verifies access with a one-time passcode and views the document in a protected recipient portal. The shared link remains in your complete control, with the ability to view the read receipts, revoke access or change the link expiry date.
From there, the recipient can print it, download a PDF or copy the content into their own system. The document does not remain as an unprotected attachment in an email inbox.
05 · Getting started
The success of documentation software is often determined early. If setup remains unfinished or the output does not fit the clinician, adoption quickly falls away. Medspec’s onboarding is designed to resolve both from the beginning.

For future changes, you can activate Template Support from within the Medspec portal. Our team can work directly on the relevant templates, making updates faster and avoiding unnecessary calls or back-and-forth.

Organisation accounts receive a single account-level invoice covering clinician licences and additional modules.
06 · Trust
There are no stored patient recordings. Speech is transcribed in real time as it is spoken.
No consultation audio file is retained.
Audio is transcribed in real time and is not written to persistent storage. Medspec retains the transcript and approved documents according to your clinic’s retention settings. You decide on the data retention policy through the Medspec admin control panel.
Clinical data processed and stored locally.
Clinical data is processed and stored using infrastructure hosted locally. This data residency applies across every Medspec plan.
Encrypted in transit and at rest.
Data is encrypted while moving between your device and Medspec and while stored within the platform. Access is controlled through authenticated, role-based permissions. This has been independently tested and verified by external security teams.
